Position Summary:
The Associate, Business Development is a detail-oriented, curious, and self-motivated team member who supports the Business Development Team in achieving annual funding goals and driving organizational impact. Key responsibilities include managing event sponsorships, supporting proposals and concept notes, reporting funding progress to leadership, and overseeing knowledge management. The Associate also tracks deadlines, coordinates meetings, synthesizes data, and drafts cross-organizational communications.
Responsibilities:
Event Sponsorship and Individual Giving
- Manage the full cycle of event sponsorships and individual giving with support from the team (e.g., Sabin Gold Medal Awards, International Rotavirus Symposium, Coalition Against Typhoid, for example)
- Support the development of all sponsor materials (outreach letter, sponsor benefit document, and thank you letters) finalize and prepare all email to be sent by senior or executive leadership
- Coordinate with leadership to update invitation lists for Sabin events
Business Development Support and Coordination
- Lead the daily monitoring for funding opportunities across Business Development and the organization, with support from the team
- Assist in planning, preparation and facilitation for proposals, concept notes, and other business development efforts (slide decks, capability statements, etc.), as needed to support organizational funding goals:
- Support landscaping and research for proposals and concept notes
- Assist with compilation and completion of administrative forms as required by funders
- Assist Manager and Senior Manager to ensure that work products are free of errors, and concepts are presented clearly, accurately and persuasively, conform to the formatting and submission standards to any internal/external policy/regulatory requirements
- Provide executive support to Senior Director, Business Development, the President, Global Immunization, and Chief Executive Officer, as needed
Annual Fundraising Plan & Reporting
Work with Senior Director, Business Development, to draft and finalize fundraising goals for the upcoming year and report on progress throughout the year:
- Development of a refreshed annual fundraising datasheet, with necessary input from program and finance teams.
- Conduct ongoing financial and strategic analysis of fundraising plan (biweekly and quarterly)
- Track proposal status/value (submissions, awards and rejections)
- Operationalize Salesforce to drive efficiencies for funding monitoring and reporting with other teams as necessary
Organizational Coordination and Knowledge Management
Organizational Coordination:
- Assist preparing for the monthly cross-team business development meeting
- Ensure effective use of internal digital platforms and tools (e.g. SharePoint, Monday.com, Air Table) to facilitate easy and clear coordination across teams
- Work collaboratively across the organization, building strong relationships with colleagues to stay informed of latest organizational and ecosystem developments
Digital File and Data Maintenance:
Serve as the file organization focal point for Business Development to prompt cross-organizational use of Salesforce and SharePoint for partner management, documentation, and reporting:
- Support documentation and recordkeeping efforts by performing timely and accurate data entry in internal systems, contributing to efficient file management and retrieval
- Collaborate with the Manager to maintain organized digital records and ensure data accuracy through consistent entry and documentation practices.
- Other administrative duties, as assigned
Requirements
- Bachelor’s degree in a related field
- Minimum 2 years relevant experience
- Demonstrated success drafting, proofreading and editing complex documents
- Proficient in Microsoft Office 365 applications (Excel, Outlook, PowerPoint, Teams, Word) and Zoom video conferencing; experience with Salesforce plus
- Excellent communications skills (active listening, writing, speaking); French proficiency a plus
- Strong interpersonal skills; effective at working with others over geographical distance
- Strong attention to detail, ability to manage complex tasks; proactive, highly organized, flexible, dependable and able to prioritize competing demands to meet deadlines
- Ability to process information quickly, work across the organization and build strong relationships with colleagues
- Superior service orientation
Preferences:
- Experience working in public health and/or grant-funded environment preferred
- Strong administrative skills; experience in or knowledge of finance, contracts, budgeting and reporting preferred
- Professional experience with business development and project management preferred

Sabin’s philosophy is to ensure fair, unbiased, equitable, competitive compensation and benefits. Using benchmarking and salary survey data, the starting annual salary for this position ranges from $60,000 - $66,000. The exact compensation may vary based on skills, experience, training, certifications/degree. As a grant-funded organization, Sabin actively seeks funding for existing and new programs.
