Special Projects Coordinator

Job Title: Special Projects Coordinator
Position: Full-time, permanent, salary plus benefits
Location: NYC/Hybrid
Experience Desired: 1-3 years of event coordination & project management

Description:
Betches Media is looking for an outgoing, fun, and driven individual to join the Marketing team. You will be responsible for assisting the Marketing department with special projects including: ownership of in-person event production, virtual experiences and digital activations, day to day press and PR support and various administrative duties. Tasks include but are not limited to ideating event concepts, venue research, guest list procurement, to full event execution.

The ideal candidate should be able to work independently, with strong project management skills, have a friendly demeanor, and can multi-task projects in a timely manner. This person should demonstrate exceptional customer service and problem solving skills as you will be working on behalf of the company with many outside parties.

This position will report to the Senior Director of Marketing and will work closely with many teams.

Role & Requirements:
  • Lead the execution of external events (in person and virtual) with support from the marketing team (includes supporting the development of event proposals and budgets, negotiation of contracts, timeline development, menu selection, site selection, logistics, invitations, onsite staffing, ticketing page, event recaps etc.)
  • Create and manage detailed event planning timelines, while ensuring deadlines are met
  • Provide vendors and venues with positive communication, always representing the company in a professional manner
  • Work closely with cross-departmental content teams on event promotion to drive ticket sales and attendance and with sales & partnerships team to ensure all client deliverables (content, branding, product integrations/activations, etc.) are met
  • Assist all event set-up, tear down, and follow-up processes
  • Liaise with outside subcontractors as needed (i.e., catering, DJ, etc.) to ensure event is fully supported & staffed
  • Support new brand initiatives including but not limited to virtual metaverse experiences, influencer gifting, brand launch support, etc.
  • Coordinate and share all new experiential and marketing initiatives with external PR team
  • Day-to-day administrative work such as contract review, paying invoices, maintaining event budgets and Marketing team expenses
  • Must be comfortable with event set up and strike, event boxes, gifting & moving other materials as necessary

Qualifications:
  • 1-3 years experience as a marketing or events assistant
  • Strong planning and project management skills
  • Well-organized with excellent multi-tasking abilities
  • Strong verbal and written communication skills with an ability to build relationships
  • Effective presentation and negotiation skills
  • Positive attitude and a strong sense of urgency in resolving any issues that may arise

Compensation:
The expected annual base salary for this role is $55,000 - $65,000. Final offers for this role will be made within the parameters of the salary range provided. Years of experience, skills, and other factors such as location are considered when determining the salary offered. Total compensation & offer package will include the following perks below.
