Manager, Events and Operations

RESULTS is seeking a highly motivated individual to fill the Manager of Events and Operations position.
As a member of the “HOME” team, the Manager, Events and Operations, is responsible for successfully planning and executing various meetings, convenings, and retreats (“events”) in collaboration with the Campaigns Team and other staff, as well as providing office and operations management in collaboration with colleagues on the HOME team. The successful candidate will also work with the Deputy Chief Operating Officer in developing processes to streamline and ensure a process of successful event management. In addition, the Events and Operations Manager maintains travel-related vendor relationships on behalf of the organization, researching and securing travel solutions for organizational needs. The Manager will report directly to the Associate Director of Human Resources and Operations.

Responsibilities

EVENT PLANNING
  • Collaborate with program leads to develop and implement a strategy, budget, and timeline for each event, from small scale meetings to large convenings or events. Identify individuals involved and set key dates to execute and lead an organized event. Provide motivation, direction, and support to the team to keep track on deadlines. 
  • Recommend and advise program team on venue, logistics and service to ensure a successful outcome. Secure and book a suitable venue or location.     
  • Monitor registration of participants and keep program teams informed of numbers.
  • Manage all logistics of an event and serve as point person for both internal and external stakeholders. Execute travel, hotel, and other arrangements as needed. Lead and manage the RFP process for each event, as necessary (ex: room blocks, meeting facilities, materials, AV equipment, food, etc.). 
  • Review contracts and agreements with vendors.
  • Track and report on budgeting progress to program lead based on executed and expected spending commitments. Make recommendations and changes as necessary.
  • Develop communication plan and work across divisions to ensure effective information sharing, planning, delivery, and liaising closely with the key team members for each event.
  • Arrange regular team meetings to deliver status updates.  
  • Work with program lead to develop “run of show” and manage event agenda, set timelines as needed for events, and provide follow-up as needed.
  • Collaborate with Communications team to identify branded collateral and website content needed for specific events. 
  • Manage post-event activities, reconciliations, evaluations, close-outs, and debriefs with team and grants/finance teams. Analyze event performance and successes and identify areas for improvement. 
OFFICE OPERATIONS SUPPORT
  • Manage office “hot desking” workplace system
  • Maintain in-office supplies as needed
  • Support procurement and tracking of equipment
  • Reconcile monthly credit card statement for organizational purchases.
  • Process other operations needs at the direction of the Associate Director, HR & Operations, as event schedule permits
VENDOR MANAGEMENT
  • Research prospective vendors (service, locations) and evaluate the potential for collaboration.
  • Lead contract negotiation and book event and travel vendors, conducting site visits as needed. 
  • Maintain complete files on vendors, including correspondence, meeting notes and additional information.
  • Manage external vendor relationships and clearly communicate all agreements and directives to internal event teams. 
  • Hold vendors accountable for adhering to all compliance policies and the successful execution of all logistical details.
  • Reconcile travel bookings and payments for grant coding and finance payment in a timely manner.

Qualifications

  • Minimum four years of experience and demonstrated success in planning international events, meetings, conference, delegations and special events. 
  • Passion for and dedication to RESULTS mission.
  • Event industry knowledge understanding of event planning principles, concepts, practices and industry standards. 
  • Proficiency in CRM, guest management, and business travel platforms.
  • Excellent verbal, written and interpersonal skills to establish effective working relationships within the organization, as well as vendors and stakeholders. 
  • Sharp task management skills to include: proactivity, planning, prioritization, objective setting, and meeting management.
  • Highly organized with the ability to manage ongoing confliction workload demand of both planned and short-lead time requests in a fast-paced environment. 
  • Ability to be self-directed and work with minimal supervision.
  • Proactively anticipates the needs of event attendees and staff, identifies and addresses potential issues, and make sound decision to propose effective solutions and/or give direction to resolve the issue to ensure a positive end result. 
  • Experience traveling is a plus, along with understanding of nuances of air travel as well as ground transportation in relation to building event schedules.
  • Some travel may be requested occasionally.
